Fiscal Announcements and Reminders

New eVA Transition Reminders


The New eVA platform will launch on November 1. As a reminder, the current eVA system will go offline at 5 p.m. on October 26. The New eVA platform should be available for campus purchasers around November 7. Users will not have access to eVA between October 26 and November 7 (tentative date). We will send an email to all users as soon as we have verified a successful transition. Please review the complete timeline, training resources, and the eVA Interface Demo located on the eVA Purchasing webpage.

Chart of Accounts Operations


The implementation of Chart P is now complete and maintenance/adjustment activity has transitioned from the COA project team back to regular business processes. You may still consult with your appointed Accountability Project Partner (APP) as many of these individuals already hold key business and financial roles within your department and the University. Please familiarize yourself with the operational support and training resources that are available and follow normal processes and procedures, to record transactions and adjustments. We will continue to update processes in the future to take advantage of the new COA and achieve efficiency using our systems. Stay tuned for future updates and communications.
Additionally, the “coaproj” email address will be retired. The contents of the Chart of Accounts website will be carefully assessed with appropriate relevant content moved to the Fiscal Services website. Honorarium Payment Update

We have updated the Honorarium payment instructions. Highlighted changes include that eVA entry is no longer required for Honoraria over $2,000, suggested ranges based on university averages have been included, and Honoraria in excess of $2,000 should receive advance approval.

An honorarium may include consideration for travel expenses. Honorariums that exceed $2,000 should be first reviewed with your unit’s Chief Business Officer and/or the Purchasing Department (purch1@gmu.edu) prior to making any commitments to a recipient. Honoraria payments are exempt from eVA procurement and may be processed through Accounts Payable with the Honorarium Payment Request. The form and website will be updated shortly.

Fiscal Training and Engagement Training Initiatives

"Purchasing Made Easy -- Access-Based Training"
Available now! This new training, “Purchasing Made Easy – Access Based Training,” is a two-hour, on-demand, self-paced training found in MasonLEAPS. The curriculum includes a review of Mason Purchasing, eVA procurement, P-Card uses, and the Bank of America Works system. This training is required in order to become a P-Cardholder or approver. Sessions are available online to watch as many times as needed, at any time. For more information please visit: https://fiscal.gmu.edu/training/

Mason Finance Gateway (MFG) Access
Mandatory Navigation training for the travel and expense reimbursement system provides an overview of how to navigate the MFG system. Additional guides and resources are available to the Mason Finance Gateway homepage.

NEW! Mason Fiscal Administration Certificate (MFAC)
Registration is now open! 4-Weekly sessions leading up to a Fiscal Administrator Certificate (issued by Fiscal Services). Sessions will be in a hybrid format for in-person and virtual attendance. Spring schedules may be modified based on feedback from the initial series. Upon completion of the Fiscal Administrator Certificate program, employees will have in-depth knowledge of Fiscal policies, procedures, and financial systems. This program is the first step in becoming a professional in Fiscal administration at Mason.
